Better calendar apps than Google Calendar for project planning?

Hey everyone!

I need to organize my schedule better for work and personal projects (doctor recommended it). I’ve been trying Google Calendar but it’s really frustrating. When plans change or tasks run longer than expected, I have to manually drag and drop each event to new time slots. This happens almost every day and it takes forever.

I know there are some tricks to move multiple events at once, but having to use complicated workarounds constantly defeats the purpose. I’ve searched online and most people love Google Calendar, but it just doesn’t work for my workflow.

Does anyone know of calendar or planning apps that handle schedule changes better? Looking for free options since I could just get a paper planner if I’m going to spend money on this.

I switched to Fantastical after getting frustrated with Google Calendar’s drag-and-drop issues. The natural language input is a game-changer - just type “meeting with client next Tuesday 2 PM” and boom, event created. When things shift around, their quick entry beats dragging events all over the place. Fair warning though - the free version has limits and you’ll need a subscription for the good stuff. If you want completely free, Thunderbird’s Lightning calendar is solid if you’re cool with desktop software. Bottom line: find something that cuts down on manual work because schedules always change.

notion is pretty cool, i use it! much better than google cal for managing changes. you can move stuff around without the hassle. just takes a bit to get used to the layout, but after that, it’s a breeze for scheduling!

Have you tried Outlook Calendar? I know it sounds basic, but the scheduling assistant actually handles changes pretty well. When I had similar issues, I started creating recurring time blocks instead of individual events. So instead of ‘Team meeting at 2pm,’ I’d block out ‘Project A work’ or ‘Admin time’ and adjust what I actually did within those chunks. When things run over, you’re not constantly shuffling individual events around. Also check out Calendly’s free tier if you coordinate with other people - it prevents double booking and handles rescheduling automatically. The trick is thinking in time blocks, not specific events, whatever app you use.
