Collaborative Google Spreadsheet for Application Progress Tracking

Community Timeline Tracker

Hey everyone! We have created a shared spreadsheet to track our application timelines and help each other understand the process better. This document includes a statistics section so we can all see patterns and average processing times.

How to Get Added

If you need help getting your information into the tracker, please mention either u/cnhartford or u/noaccountant4790 in your post and they will assist you with adding your details.

Required Information

When requesting to be added, please include:

  • Your username
  • Number of applications and which generation
  • Country of origin and shipping method used
  • Whether you requested expedited processing
  • Submission date and other important dates like receipt confirmation

Updating Your Information

Once your row is added, you can find it by looking for your submission date. Please keep your information current as you receive updates about your case.

Important: Please do not lock cells or remove any existing data. The sheet has open editing permissions so everyone can maintain their own records.

Key Terms Explained

AOR: Acknowledgment of Receipt - This is the email and PDF you get after initial review. It contains your UCI (Unique Client Identifier) which you need for status checking.

After AOR, you won’t get automatic email updates. You need to check your status manually using the official government portal.

If you requested urgent processing, expect faster response times. Some applicants may receive a 5(4) grant offer instead of proof of citizenship. If this happens, you have 30 days to respond with requested documents.

Many people are currently waiting for grant approval confirmation before moving to the oath ceremony stage.

This tracker should help everyone understand where they stand in the process!

This worked great for me last year. Seeing everyone else’s timelines helped me figure out what delays were normal vs. when I should actually follow up. Pro tip: screenshot your entries regularly. These shared sheets get wonky when too many people edit at once - I lost my data twice before I started doing this. The stats section is gold once there’s enough data. I predicted my AOR within a few days just from the patterns. If you’re worried about privacy, just use partial info or make a throwaway username for tracking. The timeline insights you get are totally worth keeping your row updated.

Tracking applications in spreadsheets sucks. I’ve dealt with this on project rollouts where we had to monitor hundreds of submissions across different teams.

Spreadsheets fail because people don’t update them, data gets messy, and there’s no automation. Manually checking government portals for status updates eats up tons of time.

I had better luck with automated workflows that pull status updates and send notifications when things change. Build something that automatically checks the government portal with your UCI numbers and updates everyone when statuses shift.

Automate data collection too. Skip asking people to manually fill spreadsheets - create a simple form that feeds your tracking system. Set up automatic reminders so people actually update their info.

For statistics and timeline analysis, automated reporting destroys manual spreadsheet formulas. You get real insights without someone babysitting pivot tables.

I built similar tracking systems for compliance workflows and saved massive amounts of time. No more chasing updates or fixing corrupted spreadsheet data.

I’ve used similar community trackers for immigration stuff and they’re definitely worth it, despite the issues people mentioned. The biggest thing I learned was how different regions process cases - applications from certain countries consistently took way longer, which you’d never figure out from random forum posts. Really helped to compare expedited vs regular processing times when deciding if the extra fees were worth paying. You should add a column for which service center or office handles each case since processing speeds vary tons by location. Also track any document requests or extra evidence they ask for - helped me prep when my turn came. The collaborative part works better than expected once people see the benefits of having real data instead of just anxious guessing.

I’ve tracked applications for hundreds of employees through visa renewals and compliance. Shared spreadsheets work fine for small teams but they fall apart quickly.

The biggest issue? Manual status checking. Having people constantly log into government portals to check UCI numbers is a huge time sink. Manually updating spreadsheets is just as bad.

Here’s what actually works: build workflows that automatically check for status updates and ping people when something changes. Stop babysitting applications and let automation monitor the government portal using your UCI numbers.

For data collection, ditch manual spreadsheet entry entirely. Build automated forms that feed directly into your tracking system. Set up automatic reminders so people keep their info current without constant nagging.

I’ve built similar systems for security clearances and compliance renewals. No manual checking, automatic notifications when statuses change, and real analytics on processing times by region and case type.

The privacy concerns others mentioned are spot on. Better to have controlled access with automated data collection than open spreadsheets with personal details everywhere.

Sounds like a solid idea, but honestly these shared sheets always turn into a mess after a few weeks. I’ve seen this before - people stop updating or accidentally delete stuff. Maybe add some backup system? Also wondering if there are any privacy concerns sharing all that personal info with random usernames.
