How to automatically send Instagram messages using Zapier with data from spreadsheets?

I’m trying to set up an automation workflow where I collect user information and messages through online forms, store them in a spreadsheet, and then automatically send Instagram direct messages to those users.

Right now I have the first part working - the form responses are getting saved to my spreadsheet with the user IDs and message content. But I’m stuck on the second part where I need to take that spreadsheet data and use it to send Instagram DMs through Zapier.

I’ve been testing different approaches but haven’t found a solution that works yet. The Instagram integration seems tricky to configure properly.

Does anyone know the right way to set this up? Or if there’s a completely different method to achieve the same result - collecting user details and messages, then sending them as Instagram DMs automatically?

Any help would be really appreciated!

ugh, tell me about it! zapier is a struggle with ig now. you might wanna look into their business api or something like manychat. also, a lot of folks are movin to whatsapp for this stuff, it’s way easier.

Instagram’s API restrictions essentially hinder direct automation through Zapier. My experience aligns with this; their Business API requires approval and imposes strict rules that prevent bulk messaging. What worked for me was maintaining the spreadsheet aspect while utilizing Creator Studio for scheduling posts and handling DMs manually. Instagram monitors automated messaging closely and can quickly suspend accounts. For genuine automation, consider using Buffer or Hootsuite due to their official API partnerships. Some users opt for browser automation tools like Selenium, but this comes with significant account risks. Always stay updated with Instagram’s current terms, as they frequently change.

Had this exact problem six months ago. Spent weeks testing different solutions and here’s what I found - Instagram blocks most third-party automation tools, including Zapier’s DM features. They’ve gotten super strict about automated messages since updating their terms. What worked for me: kept the spreadsheet for data collection but switched messaging to Instagram’s Creator Studio API. You need manual approval, but it allows legit business messaging. Some folks I know have had success integrating through Facebook’s Business Manager (since they own Instagram), though you still need approval. Bottom line - any workaround that skips Instagram’s official channels will get your account flagged or suspended. Don’t risk it.
