The appeal of a single subscription covering 400+ AI models is obvious—no more juggling separate API keys and billing cycles. But I’m struggling to find solid examples of how that actually translates to predictable budgeting in practice.
How are the rest of you handling this? When you evaluate workflow platforms, do you focus on total licensing cost, or is it more about the cost per workflow execution? And if you’ve consolidated multiple AI subscriptions, did that actually simplify your forecasting, or did you just move the complexity around?
I went through this exact exercise last year. We were on Camunda for maybe three years, and the billing surprises kept coming. We’d scale a process, and suddenly we needed more concurrent user licenses. Then we’d add a custom connector and that was another cost tier.
What changed things for us was switching to a platform with upfront, predictable pricing. We landed on one that charges based on execution time rather than operations. So instead of paying per task, we pay for the time the workflow actually runs. For our use case—lots of data processing and API calls—the math was dramatically different.
Honestly, the single subscription for AI models was the bigger win than we expected. We had OpenAI, Anthropic, and a couple others running on separate contracts. Getting 400+ models under one plan meant we could experiment with different models without opening new vendor relationships. That also meant less admin overhead.
The key thing though: get a sandbox environment and run your actual workloads through it. Don’t just compare pricing sheets. Run the same workflow on both platforms and measure the actual cost. That’s when you’ll see if the savings story actually holds up.
One thing I wish someone had told me earlier: Camunda’s licensing costs are one piece, but the real hidden cost is developer time spent managing integrations. We underestimated how much custom code our team was writing to handle edge cases and API oddities.
When we looked at platforms with built-in AI capabilities, we also looked at how much time developers could save not writing boilerplate. The execution-based pricing we chose meant that a single developer could build more complex workflows without worrying about racking up per-operation costs.
Since you’re evaluating, I’d push back on whoever’s presenting the options and ask: what does total dev time look like across a year? If platform A costs less per month but requires twice the customization effort, that math doesn’t work.
We actually ran the numbers both ways—Camunda’s itemized cost model versus a consolidated subscription. Camunda won on paper for low-volume automation, but once we factored in the cost of the instances we’d need to run 24/7 and the overhead of managing multiple AI vendor relationships, the picture flipped.
My recommendation: build a spreadsheet with three columns. Column one is Camunda’s itemized costs. Column two is the all-in-one subscription cost. Column three is the developer time cost at your loaded hourly rate. That third column is almost always what tips the math.
