Migrating from Airtable to Appian - Need Help

Hello everyone!

I’m trying to migrate my current Airtable database to Appian but I’m struggling with the process. I can handle simple tasks but Appian is still pretty new to me. Does anyone know reliable experts who can help with this migration?

Here’s my current process structure:

  • First, I create Customer records
  • Then I add Location entries tied to each customer
  • Next, I build Estimates for customers and connect them to specific Customer and Location data
  • When an estimate gets approved, Tasks are made for individual location assessments
  • Finally, several Tasks get combined into a Report for the customer

Any suggestions on how to approach this migration would be great. Thanks!

Been through a few database migrations like this and the biggest gotcha is usually approval workflows. Airtable’s pretty loose with state changes but Appian wants everything defined upfront.

I’d focus on nailing the estimate approval process first since that’s your critical junction. You’ll need to build the actual process model that handles estimate to task conversion - way different from Airtable just letting you update a status field.

Appian’s reporting layer is much more powerful once you get it set up. Your Reports step will be way cleaner, but there’s a real learning curve.

I’d start with Appian’s partner directory rather than freelancers. The platform’s specific enough that you want someone who’s done this exact migration before.

i feel you on this! migrating can be a pain, but def start with mapping connections. appian’s a bit strict with its structure, so having a clear plan is vital. also, don’t hesitate to reach out to their support, they helped me when i was stuck!

Your workflow should translate pretty well to Appian’s process model structure. When I did a similar migration, I broke it into phases instead of moving everything at once. Start with your Customer and Location data models in Appian first, then test the relationships thoroughly before tackling the complex stuff like Estimates and Tasks. The big difference you’ll hit is that Appian handles relational data differently than Airtable, so spend time learning how record types and relationships work there. I’d set up a small test instance with 10-20 records to validate your data structure before doing the full migration. This saved me from redoing work later when I found issues with my initial setup.
