Single subscription for 400+ ai models - how to cut integration costs during opentext migration?

I’m the lead architect for our OpenText migration project to Camunda, and I’m running into a major budget issue.

We built a simple REST API that served as our single integration point for all workflows. Behind this facade, we handled all the vendor-specific connections, API keys, and error handling. When workflows needed AI capabilities, they made standardized calls to our internal service rather than directly to external providers.

This approach gave us several benefits:

  1. We could swap AI providers without changing our workflows
  2. Centralized monitoring of usage and costs
  3. Simplified security by limiting API key access to one system

Tier 2: For specialized capabilities used in only 1-2 workflows, we evaluated whether we could adapt our Tier 1 solutions before adding new vendors. Often, we found creative ways to reuse existing AI services.

Tier 3: Only when absolutely necessary did we integrate additional specialized AI services.

This approach reduced our projected vendor count from 15+ down to 5, while still delivering all the planned capabilities. We also implemented a quarterly review process to identify opportunities for further consolidation as the AI landscape evolves.

Having led several BPM migrations incorporating AI, I’d recommend focusing on standardization and service abstraction.

First, create a clear taxonomy of the AI capabilities you need (text analysis, image processing, prediction, etc.) and standardize how these capabilities are exposed to your workflows. Define consistent input/output formats for each capability type.

Then, build or adopt an abstraction layer that implements these standard interfaces while hiding the complexity of specific AI providers. This decouples your business processes from the underlying AI services.

Consider implementing a capability registry where workflows can discover available AI services dynamically. This allows you to add, remove, or swap providers without modifying workflows.

Also, look for AI orchestration platforms that already provide this abstraction. They can significantly reduce integration costs and provide unified billing and governance, which addresses your finance team’s concerns about subscription sprawl.
