AI assistant for voice-controlled calendar and task management

Hello everyone,

I need help finding an AI tool that can handle my daily tasks using voice commands. I’m pretty messy with my schedule and want something that connects directly to my calendar apps like Outlook or Apple Calendar.

What I want to do is say things like “cancel my morning meetings” and have the AI automatically move those appointments, send emails to people, and suggest new meeting times. I also want to ask it to research topics and email me the results, or update my notes app with new information.

I’m willing to try any app or service that does this stuff. Even if I need to use something like Zapier or learn new tools, I’m ready to do that. Has anyone found something that works for this kind of voice-controlled scheduling and task automation?

Any suggestions would be really helpful. Thanks!

Microsoft Cortana paired with Power Automate might be exactly what you’re looking for, especially since you mentioned Outlook integration. I switched to this setup about six months ago after struggling with similar scheduling chaos. The native Outlook integration means voice commands like “move all Tuesday meetings to Wednesday” actually work reliably without breaking existing email threads or losing meeting details. Power Automate handles the backend automation - when I cancel meetings through voice commands, it automatically drafts apology emails and suggests three alternative time slots based on everyone’s availability. The research function works through Microsoft’s ecosystem too, so asking for market research or competitor analysis gets compiled into OneNote with source links included. Setup requires some initial workflow creation in Power Automate, but Microsoft has templates for common scheduling scenarios. The learning curve was steeper than expected, took me about a week to get comfortable with the voice syntax, but now it handles about 80% of my calendar management without me touching the keyboard.

I’ve been using a combination of Google Assistant with IFTTT for similar functionality and it works surprisingly well once you get it configured properly. The key is setting up custom voice commands that trigger specific workflows. For calendar management, I can say something like ‘reschedule my 3pm meeting’ and it will automatically send a message to participants with alternative times based on my availability. The setup took me about two hours initially but now it handles most of my routine scheduling tasks without any manual intervention. One thing I learned is that you need to be very specific with your voice commands at first until the system learns your speech patterns. The email automation part works great too - I regularly ask it to research industry news and compile summaries that get sent to my work email every morning. The only limitation I’ve found is with complex multi-step tasks that require human judgment, but for standard calendar management and information gathering it’s been a game changer for my productivity.
