Can I set up automated workflows when clients schedule specific appointment types in HoneyBook?

I’m trying to automate my workflow by connecting HoneyBook with other apps through Zapier. My goal is to trigger specific actions whenever a client books a particular type of session in my HoneyBook calendar.

When I check the available HoneyBook triggers in Zapier, I see these options:

  • Client created
  • New inquiry
  • New payment paid
  • New project booked
  • Project stage changed

I tried making a test appointment booking for one of my session types, but when I look for test data in Zapier, the booking doesn’t appear under any of these trigger options. Has anyone successfully created this type of automation? I’m wondering if there’s a specific trigger I should be using or if this integration isn’t supported yet.

Yeah, this is a HoneyBook quirk. Calendar widget bookings don’t always register the same way as regular project creation in their system. I had better luck setting up a webhook through HoneyBook’s API to catch appointment events - more technical work, but it actually works. You can also try the “Project stage changed” trigger with custom stages for different appointment types. That caught bookings the other triggers completely missed. The integration’s pretty buggy, but these two methods caught most of my booking events.

I’ve hit this same issue. HoneyBook handles different appointment types inconsistently with Zapier triggers. Some session bookings fire the “New project booked” event, others don’t trigger anything - it depends on how you’ve set up your services in HoneyBook. I had better luck testing the Zapier connection by manually creating a project through HoneyBook’s main flow instead of using calendar bookings. Also check that your appointment types are actually set as “services” in HoneyBook’s settings - that affects how it talks to external integrations.
