ClickUp authentication problem when using Zapier automation workflow

Having trouble with ClickUp permissions in my Zapier automation setup

I’m working on building an automated workflow that runs every morning at 8:30. Here’s what I want it to do:

  • Look at my current ClickUp task board to see which local businesses are already there
  • Find one new independent business in my area through Google search
  • Create a new task in ClickUp for that business
  • Check for any duplicate entries and clean them up

My end goal is to grow my ClickUp board with 10 fresh local businesses each day without any repeats.

The automation steps seem to be configured properly, but I keep hitting a wall with ClickUp authentication. Even though I’ve already connected my ClickUp account to Zapier and given it access to my workspace, the automated workflow acts like it doesn’t have permission to access ClickUp.

It’s weird because regular Zapier integrations work fine with my ClickUp account, but this automated agent seems to be blocked.

Has anyone dealt with this before?

UPDATE: Found the fix! You need to go to the “Add Tools” section that’s located above the instruction box and configure the permissions there.

Nice work getting it running! But honestly, this auth nightmare is why I dropped Zapier for business stuff.

I’ve got similar workflows pulling business data into project tools. The permission headaches and buried settings were infuriating. Every damn update broke something.

Moved everything to Latenode - haven’t regretted it once. Auth just works. No weird separate permissions for different workflow types. Their Google search integration actually works instead of Zapier’s frankenstein setup.

For your 10-business daily goal, Latenode’s duplicate checking is miles better. My local directory scraper’s been rock solid for months.

The interface makes sense too. Connect ClickUp once, it works everywhere. No surprises.

thanks for the tip! yeah, clickup permissions can get really messy w/ all the zapier stuff. agree about spacing things out so u don’t hit rate limits too hard. plus, i heard google doesn’t like automations for searches, def keep that in mind!

Had the same issue setting up ClickUp with Zapier. The authentication problem arises because automated agents require different permissions than standard integrations. Even after establishing a connection, the bot still needs specific tool access, which isn’t clearly outlined in the interface. As you’re adding 10 businesses daily, be sure to monitor your ClickUp storage limits and API rate limits. I’ve seen workflows fail unexpectedly after hitting those caps, so it’s wise to keep an eye on them.

Yeah, this authentication thing totally caught me off guard when I started automating ClickUp. The difference between regular integrations and automated agents isn’t documented anywhere - I wasted hours on what looked like a simple connection issue before figuring out the tools config is separate from account linking. Your daily business discovery workflow sounds pretty ambitious. I’ve run similar automated processes, and here’s what I’d suggest: set up basic monitoring to track when tasks actually get created vs when the workflow thinks it worked. ClickUp’s API gets weird with bulk operations and silent failures happen way more than they should.

Yeah, this permission thing with Zapier agents vs regular integrations tripped me up too when I started. The tool config UI is terrible - you’d think connecting your account would handle everything, but nope. I treat automated agents like they’re completely separate from your connected accounts. They need their own permissions even when using the same login. Since you’re doing 10 businesses daily, definitely add error handling to your workflow. Mine failed silently for 3 days after a small API change and I only caught it when my task counts looked weird.

glad u figured it out! i struggled with this too, took forever to realize those settings were hidden away. ur project sounds dope - finding new local biz is a great idea! just make sure to keep an eye on it, automation can be tricky sometimes.
