Considering Airtable for managing my tutoring business - is it the right choice?

Hey everyone,

I just discovered Airtable and I’m wondering if it would work well for my small tutoring company. Right now we have 8 instructors who do both one-on-one sessions and group classes with up to 8 kids.

We’re currently using Excel for everything but it’s getting messy. We track lesson schedules, student attendance, instructor payments, and parent billing all in one big spreadsheet.

I’m hoping to find something that could help with a few specific things. First, I want instructors to be able to check their own schedules without having to call our office every time. Maybe even get alerts when new students book with them.

Also, our academic team sends out worksheets and materials daily for each lesson. It would be great to organize this better since each session can have anywhere from 1 to 10 different documents.

Another thing is that families buy packages of 5 lessons. I need some way to get reminded before their last session so we can follow up about renewing.

Lastly, we do practice tests with students and parents want to see the results online instead of waiting for us to email them.

Does Airtable handle this kind of stuff well or should I look at other options? Any suggestions would be awesome!

The notification functionality works decently, but for more robust scheduling features, you may need alternative tools. Regarding lesson materials, while Airtable allows attachments, managing multiple files per session requires careful organization to prevent clutter. The package tracking with automated reminders for renewals is one of Airtable’s strong points. However, sharing practice test results directly with parents might be a challenge; consider integrating with a simple web portal for better access. Overall, it’s a significant improvement over Excel, especially for the scale you’re working with now.
