Is Hubspot suitable for marketing agencies? Internal client management vs. client project coordination

I’m curious about using Hubspot or similar CRMs in a marketing agency setting. We’re juggling about 90 clients with a team of 7 split between PPC/SEO and Social/Email. Each person handles around 14 clients which feels overwhelming.

Our current setup is a mess. We’ve got client info spread across countless Google Sheets, Trello boards, Dropbox folders, Looker Studio reports, Agorapulse, and Slack channels. It’s a nightmare for new hires to get up to speed.

I’m wondering if a CRM could help centralize all this or if it’s mainly for tracking sales and managing our own client relationships. Has anyone tried this? Did it make things easier to manage? Any tips or experiences would be super helpful!

As someone who’s worked in a few marketing agencies, I can say HubSpot can be a game-changer for client management. We implemented it about a year ago, and while it’s not perfect, it’s significantly improved our workflow.

The biggest advantage is having a central hub for client data, communications, and project tracking. No more digging through endless sheets and folders. It’s especially useful for task management and setting up automated workflows for recurring client tasks.

That said, there’s a learning curve. It took us a good 3-4 months to fully transition and get everyone on board. You’ll need to invest time in proper setup and training.

One tip: start with a pilot program for a few clients before rolling it out agency-wide. This lets you iron out kinks in your processes. Also, don’t expect it to replace all your tools immediately. We still use some specialized software alongside HubSpot.

Overall, it’s been worth the investment for us. Just be prepared for some initial friction during implementation.

setup takes time, but it’s worth it even for onbaording newbies.
