Multiple automation tools for one HubSpot account: Possible solutions?

Hey everyone,

I’m in charge of our company’s HubSpot setup. We’ve got several teams using the same account but they work pretty much on their own. Here’s the thing:

One team already hooked up their automation tool. Now another team needs something similar. But I’m pretty sure HubSpot can’t handle two different automation accounts. Am I right?

I’m trying to figure out how to make this work. The second team wants to grab leads from our HubSpot forms and send them to someone else’s Marketo account. Basically, we need to auto-fill and submit their Marketo form with the info we get.

Has anyone dealt with this before? What did you do? Any ideas would be super helpful. Thanks!

From my experience, a viable solution for your situation is to leverage a robust Integration Platform as a Service (iPaaS) like MuleSoft or Dell Boomi. These platforms excel at creating custom integrations between different systems, which is perfect for your multi-team scenario.

We faced a similar challenge and found that using an iPaaS allowed us to create separate integration flows for each team. This way, we could maintain the existing automation setup while adding new ones without conflicts.

For your specific need of transferring leads from HubSpot to Marketo, you could set up a dedicated flow that listens for HubSpot form submissions, transforms the data as needed, and then pushes it to the Marketo API. This approach offers flexibility and scalability as your integration needs grow.

While there’s an initial learning curve and some setup time involved, the long-term benefits in terms of maintainability and adaptability are significant. It’s worth exploring if you anticipate more integration needs in the future.

I’ve been in your shoes, sophiac. Managing multiple teams with different automation needs can be tricky. From my experience, you’re right that HubSpot doesn’t play well with multiple automation tools directly. However, there’s a workaround that’s worked wonders for us.

We implemented a middleware solution using Workato. It acts as a bridge between HubSpot and other systems, including Marketo. This way, each team can have their own automation workflows without interfering with others.

For your specific case, we set up a recipe in Workato that listens for new HubSpot form submissions, processes the data, and then pushes it to the appropriate Marketo form. It’s been running smoothly for months now.

The beauty of this approach is scalability. As more teams need different integrations, you can just add new recipes without touching the existing setup. It’s been a game-changer for us in terms of flexibility and team autonomy.

hey sophiac, i’ve dealt with similar issues. one workaround is using zapier or integromat to connect hubspot with marketo. these tools can grab form submissions from hubspot and send em to marketo without messin with your existing automation. might be worth checkin out. good luck!
