Hey everyone, I need some advice on finding the right form tool. Here’s what I’m trying to do:
We’ve got this big Airtable with delivery and pickup info. There’s a field called “Reported to Customer” that we fill in once a month when we send out summaries. That part’s working fine.
But now our biggest customer wants real-time updates multiple times a day. The problem is our drivers sometimes make mistakes like duplicate entries or mixing up what’s delivered versus what’s still on the truck.
We need a way for drivers to review and fix their data in the field before it goes to the customer. I’m looking for a form tool that can:
Pull unreported deliveries from Airtable for a specific customer
Let us edit those entries on the spot
Have checkboxes to pick which ones to include in the report
Send an email with the selected info and update the “Reported to Customer” field
It’d be great if it worked without logging in, but Google auth would be okay too.
I tried Fillout but couldn’t figure out how to do the multi-select part. Any ideas on what tool might work for this? Thanks!
Having dealt with similar logistics challenges, I can relate to your situation. From my experience, Typeform might be a good fit for what you’re looking for. It integrates well with Airtable and offers conditional logic that could help with your multi-select requirements.
For the real-time updates, you could set up a Zapier integration between Typeform and Airtable. This would allow you to pull the unreported deliveries and present them in a user-friendly form for your drivers.
The editing and checkbox selection can be handled within Typeform itself. You can create a form that displays the current data and allows for edits, with checkboxes for selection.
As for the email reporting and field updates, that’s where Zapier comes in handy again. You can set up a zap to trigger an email with the selected info and update the ‘Reported to Customer’ field in Airtable.
Regarding authentication, Typeform offers a ‘hidden fields’ feature that could potentially work without requiring a login. However, if security is a concern, they do support various SSO options.
It might take some setup, but this solution could provide the flexibility and functionality you need for your specific workflow.
hey, have u looked into airtable’s own forms? they might do the trick. u can pull in existing records, let drivers edit em, and use checkboxes for selecting. could probly set up an automation to email the report and update the field. no login needed if u share the form link. might be worth a shot before tryin other tools
Have you considered using Jotform? It’s quite versatile for situations like yours. I’ve used it for similar projects, and it integrates seamlessly with Airtable. You can create a form that pulls data from your Airtable base, allowing drivers to edit entries on the go. The multi-select feature is robust, letting you add checkboxes for selecting which items to include in reports. Jotform’s conditional logic can handle complex workflows, and its built-in email capabilities make sending reports a breeze. Plus, it updates Airtable in real-time. You can set it up with a secure, shareable link that doesn’t require login, making it convenient for field use. It might take some initial setup, but it could be the all-in-one solution you’re looking for.
